At Koninklijke Smals NV, we place great importance on privacy. Therefore, we want to be transparent about how we handle personal data. What is personal data?
All information about an identified or identifiable natural person. A natural person is considered identifiable if they can be identified, directly or indirectly, in particular by an identifier such as a name, identification number, location data, an online identifier, or one or more factors specific to their physical, physiological, genetic, mental, economic, cultural, or social identity.

Why do we use personal data?
1. Execution of contracts and agreements
To execute contracts and agreements, we store contact details of some employees of your company. This allows us to communicate about the agreements with your company. We also use this data to ensure any proposals from us are directed to the correct person and to carry out financial assignments.

2. Legal obligations
As a company, we have several legal obligations. Firstly, we must comply with the General Data Protection Regulation (GDPR), which is why we provide detailed information on how we process your personal data. Secondly, we are required to keep our financial administration for 7 years, which means any personal data associated with it is also retained for 7 years. Additionally, we are obliged to comply with other tax legislation and personnel data regulations.

3. Marketing and commercial activities
Koninklijke Smals NV keeps its clients and contacts informed about developments in dredging, dredging equipment, sand extraction, and water management, as well as our organization’s role in these areas. Which personal data do we collect?
1. Standard personal data
This includes data such as your name, address, phone number, and email address. We may also have information about your role within your company. This data is used to contact the company regarding agreements or service improvements. If you have contacted us about products or services, we may store your name, phone number, and email in our CRM system.

2. Contact history
We may track how often, when, and why you contact us. Calls to our sales department are logged so we can provide proper follow-up.

3. Sensitive personal data
Koninklijke Smals NV does not store sensitive personal data such as health information, beliefs, political or philosophical convictions, sexual orientation, or ethnicity. The law requires us to register employee BSN (social security) numbers.
How long do we retain personal data?
We retain personal data as long as necessary for the purpose it was collected and as required by law. Retention periods vary from a few months to many years. Personal data required for legal tax obligations are kept for 7 years, such as general ledger, accounts receivable/payable, and payroll records. In some cases, data may be retained for up to 10 years.
With whom do we share personal data?
We generally do not share personal data unless required for contract execution. We may use external service providers, sharing only data necessary for the intended purpose. We may also share data in cases of public interest (e.g., law enforcement or tax authorities), vital interests (life-threatening situations), legal obligations, or upon your request.
